Purpose of the Job
The Fleet Manager is responsible for overseeing and managing the station’s vehicles, ensuring that all cars, motorcycles, trucks, and vans are maintained in optimal operating condition. This role is crucial for guaranteeing continuous fleet movement under all circumstances, coordinating with fuel suppliers and leasing companies, and ensuring compliance with contractual obligations to deliver exceptional customer satisfaction.
Job Description
- Manage and maintain accurate vehicle records in related systems and log sheets, providing real-time visibility into the status of each operating vehicle to ensure efficient and cost-effective operations.
- Oversee and update all vehicle records on the Vehicle Management System, including:
- Vehicle details (number, manufacturer, model, license plate number)
- Insurance company information (name and contact details)
- Leasing company details (name and contact information)
- Conduct morning and evening vehicle checklists to ensure all vehicles are in good operating condition and compliant with safety standards.
- Record and monitor odometer readings both upon entering and exiting the station, maintaining a special log for accurate tracking.
- Enter all fuel invoices and maintenance expenses (e.g., oil changes, brake services) into the Vehicle Management System for transparency and tracking of costs.
- Take immediate action in the event of vehicle breakdowns (mechanical failures, accidents, etc.), ensuring that a replacement vehicle is available and operational.
- For stations utilizing the Vehicle Tracking System, regularly review reports including:
- Over-speeding reports to ensure compliance with city speed limits.
- Detailed vehicle-courier reports to assess the situation during breakdowns or accidents.
- GPS connectivity reports to monitor status and report issues to IT for timely resolution.
- Coordinate with fuel suppliers (e.g., gas stations) and leasing companies to ensure all parties adhere to contractual obligations, facilitating seamless operations.
- Ensure that all fleet operations comply with relevant safety regulations and company policies, promoting a culture of safety among drivers and staff.
- Prepare and present regular reports on fleet performance, maintenance activities, and operational efficiency to senior management
Job Requirements - Experience and Education
- Bachelor’s degree in Logistics, Supply Chain Management, or a related field.
- 5+ years of experience in fleet management or logistics operations, with a proven track record of optimizing fleet performance.
- Strong understanding of vehicle maintenance, safety regulations, and compliance standards.
- Proficient in fleet management software and Microsoft Office applications
