Purpose of the Job

Job Description

1. Portfolio Planning & Coordination

Support the development and maintenance of portfolio-level plans, including timelines, milestones, and resource views

Collaborate with project managers and stakeholders to ensure plans are aligned and up to date

Assist in capacity planning and prioritization discussions

2. Demand & Portfolio Visibility

Consolidate and maintain a central view of demand (new, change, and ongoing initiatives)

Support demand discussions by ensuring data reflects current priorities and constraints

Help maintain visibility of pipeline, in-flight, and upcoming work

3. Delivery Tracking & GoLive Management

Maintain and update go‑live trackers for projects and BAU initiatives

Support validation of delivery timelines, readiness status, and milestones

Work with project teams to ensure complete and consistent delivery updates

4. Governance & Review Support

Coordinate inputs for Delivery Review Board (DRB) and other governance forums

Ensure that delivery status, risks, and updates are captured and aligned across trackers

Support preparation of portfolio-level summaries and insights

5. Dependency & Risk Awareness

Work with project managers to track key dependencies across projects and portfolios

Help identify potential impacts to timelines or delivery outcomes

Facilitate early visibility of risks and interdependencies

6. Financial & Resource Tracking

Support consolidation of financial data (including CAPEX and PR tracking)

Assist in aligning financials with delivery plans and demand priorities

Contribute to maintaining a clear view of resource utilization and spend

7. Reporting & Leadership Support

Consolidate inputs for leadership reporting (including CDTO updates)

Ensure data shared is accurate, consistent, and timely

Help highlight key updates, trends, and areas requiring attention

8. Governance & Data Consistency

Help maintain consistency across key trackers (Demand, WSR, DRB, Go‑Live,Finance)

Support data quality and version control practices

Contribute to maintaining a single, reliable view of portfolio data

9. Project Delivery Support

Work alongside delivery teams to support project execution frameworks, tools, and templates

Encourage adoption of consistent planning and governance practices

Share and promote good practices across portfolios

10. Portfolio & Resource Planning

Support the development and maintenance of resource plans across the portfolio, including demand vs. available capacity

Work with portfolio leads and project managers to provide visibility on resource allocation across initiatives

Help identify areas of over‑allocation or under‑utilization, enabling informed discussions

11. Capacity Planning

Contribute to capacity planning activities by aligning demand with available resources across portfolios

Support prioritization by providing insights into resource constraints and availability

Help maintain a forward-looking view of capacity vs. demand to support planning cycles

12. Timesheet & Utilization Management

Consolidate and review timesheet data across portfolios to ensure completeness and consistency

Support tracking of resource utilization trends (e.g., productive vs. non-productive time)

Provide insights to help improve utilization efficiency and planning accuracy

Work with teams to address gaps in timesheet submissions or inconsistencies

Job Requirements - Experience and Education

  • Bachelor’s degree in Information Technology, Computer Science, Engineering, Business Administration, Project Management, or a related field.
  • Project management or service management certification such as PMP, PRINCE2, ITIL, Agile, or equivalent is preferred.
  • Minimum 5 years of experience in technology planning, project management, PMO, service delivery.
  • At least 3 years of experience in a managerial, senior planning, or portfolio coordination role.
  • Demonstrated experience managing multiple initiatives, priorities, stakeholders, and dependencies across global or regional teams.
  • Experience preparing leadership reports, executive presentations, dashboards, governance packs, and portfolio updates.
  • Experience in financial planning, budget tracking, purchase requests, contracts, vendor coordination, and resource forecasting.
  • Experience working with project management and service-management platforms such as ServiceNow, Jira, Microsoft Planner, Power BI, or similar tools.
