Purpose of the Job

Key Responsibilities

Operations Management

  • Coordinate international sea freight (FCL, LCL, Breakbulk) and air freight shipments.
  • Arrange bookings with ocean carriers, airlines, and overseas agents.
  • Plan cargo collection, consolidation, transportation, and final delivery.
  • Monitor shipments from origin to destination and provide proactive updates.
  • Resolve operational issues and implement corrective actions to minimize delays.
  • Ensure compliance with agreed transit times and service standards.

Documentation & Compliance

  • Prepare, review, and process all shipping documentation, including:
    • Bill of Lading (B/L)
    • Air Waybill (AWB)
    • Commercial Invoice
    • Packing List
    • Certificate of Origin
    • Customs and export/import documentation
  • Ensure documentation complies with local customs regulations and international trade requirements.
  • Maintain accurate shipment records and operational files.

Customer Service

  • Serve as the primary point of contact for assigned customers.
  • Provide shipment status updates and respond promptly to customer inquiries.
  • Manage customer expectations and resolve service-related issues.
  • Build and maintain strong customer relationships to ensure high service quality.

Coordination

  • Liaise with shipping lines, airlines, customs brokers, trucking companies, port and airport authorities, overseas agents, and other logistics partners.
  • Coordinate with internal departments including Sales, Customs Clearance, Finance.
  • Ensure smooth communication among all stakeholders throughout the shipment lifecycle.

Cost Control & Financial Management

  • Verify supplier invoices and operational charges.
  • Prepare shipment files for customer invoicing.
  • Monitor transportation costs and identify opportunities for operational efficiency.
  • Ensure profitability targets are met while maintaining service quality.

Compliance & Quality

  • Ensure compliance with company policies, customs regulations, and international shipping standards.
  • Support continuous improvement initiatives within the operations department.
  • Follow health, safety, security, and quality management procedures.

Job Requirements - Experience and Education

  • Bachelor’s degree in business or any other field
  • 3-4 years of relevant working experience in the Freight Forwarding industry
  • Experience in operations and broad knowledge of regulations
  • Cargowise experience preferred
  • Excellent MS office skills: Word, Excel and Power Point
  • Good commands in professional emails writing
